  • How to Create a New Internal User

    Admins can create new Preparers, Reviewers, Admins, and Internal Viewers in Settings.

    Steps

    1. As an Admin, click the Settings Gear.
    2. In the dropdown menu, click Manage Users & Groups.
    3. Click Internal Users.
    4. In the top right corner, click Add User.
    5. Enter the first and last name of the new user.
    6. Add an email address. This is the email address that the user will use to log in and receive email notifications.
    7. If desired, add a phone number.
    8. Select the user role.
    9. Click ‘Save’.
    10. The new user will receive a welcome email with instructions on how to log in for the first time.
  • Contact Agreements Report

    Contacts who have given K-1 Consent on behalf of an Investor can be identified using the Contact Agreements Report. This report will return a list of Investors’ Contacts and if each has given K-1 Consent. These results can be filtered by Investing Entity, Investor, or K-1 Consent Status. This report can be exported as a CSV file.

    Steps

    1. In the navigation bar, click Reports.
    2. Click the tile that says ‘Contact Agreements’.
    3. Select the Investing Entity.
    4. If desired, select an Investor.
    5. If desired, select a Signed Status (Signed/Not Signed).
    6. The results will load as the filters are selected.
    7. The results can be exported as a CSV file by clicking ‘Export’.
    8. To reset the report, click ‘Clear Filters’.
  • K-1 Consent Exposure Report

    If and how many of an Investor’s Contacts have given K-1 Consent can be determined using the K-1 Consent Exposure Report. If one of the Investor’s Contacts has given K-1 Consent, the Date Signed will be displayed. This report can be filtered by Investing Entity and K-1 Consent Status. This report can be exported as a CSV file.

    Steps

    1. In the navigation bar, click Reports.
    2. Click the tile that says ‘K-1 Consent Exposure’.
    3. Select the Investing Entity.
    4. If desired, select a Signed Status (Signed/Not Signed).
    5. The results will load as the filters are selected.
    6. The results can be exported as a CSV file by clicking ‘Export’.
    7. To reset the report, click ‘Clear Filters’.
  • Document Access Report

    If and when a Contact viewed a document can be found using the Document Access Report. This report can be used to obtain a list of Contacts who have viewed a certain document or determine if a specific Contact has viewed a document. Results can be filtered by Investing Entity, Investor, Folder, Document Package, and Start and End Date (Start and End Date refer to Document Date). This report can be exported as a CSV file.

    Steps

    1. In the navigation bar, click Reports.
    2. Click the tile that says ‘Document Access’.
    3. Select the Investing Entity.
    4. If desired, select an Investor and/or Folder.
    5. If desired, select a document package and apply a Start and/or End Date.
    6. The results will load as the filters are selected.
    7. The results can be exported as a CSV file by clicking ‘Export’.
    8. To reset the report, click ‘Clear Filters’.
  • Portal Access Report

    If and when the last time a Contact logged on to the Investor Portal can be found using the Portal Access Report. This report could be used to determine if a specific contact has logged on to the portal or to obtain a list of all the contacts in an Investing Entity that have or have not logged on. This report can be filtered by Investing Entity, Investor, and if the Contact has logged on or not. This report can be exported as a CSV file.

    Steps

    1. In the navigation bar, click Reports.
    2. Click the tile that says ‘Last Portal Access’.
    3. Select the Investing Entity.
    4. If desired, select the Investor.
    5. If desired, select Contacts.
    6. If desired, select a Portal Access (Yes/No).
    7. The results will load as the filters are selected.
    8. The results can be exported as a CSV file by clicking ‘Export’.
    9. To reset the report, click ‘Clear Filters’.
  • Wire Instructions Report

    Using the Wire Instructions Report, a user can export all wire instructions for a specific Investor or all Investor wire instructions under a specific Investing Entity.

    Steps

    1. In the navigation bar, click Reports.
    2. Click the tile that says ‘Wire Instructions’.
    3. To retrieve all wire instructions for a specific Investor, select the Investor in the Investors dropdown.
    4. To retrieve all Investor wire instructions within a specific Investing Entity, select the Investing Entity in the Investing Entity dropdown. 
    5. The results will load as the filters are selected.
    6. For more account information, click the dropdown arrow on the right side of a particular row.
    7. The results can be exported as a CSV file by clicking ‘Export’.
    8. To reset the report, click ‘Clear Filters’.
  • Contact Report

    The Contacts Report would be the spreadsheet version of the Communication grid if each Investing Entity had its own grid. This report returns a list of all of the contacts that have access to at least one folder for a specific Investing Entity. The report can be filtered by Investing Entity, folder, Investor, and date.

    Steps

    1. In the navigation bar, click Reports.
    2. Click the tile that says ‘Contacts’.
    3. Under ‘Investing Entity, search or scroll to select an Investing Entity.
    4. If desired, select a folder, Investor, or apply a date range. 
    5. The results will load as the filters are selected.
    6. The results can be exported as a CSV file by clicking ‘Export’.
    7. To reset the report, click ‘Clear Filters’.
  • Investors Report

    The Investors report can be filtered by Investing Entity and will return the details of Investors under that Investing Entity including address, TIN, GIIN, bulk upload code, and wire instructions. 

    Steps

    1. In the navigation bar, click Reports.
    2. Click the tile that says ‘Investors.
    3. Under ‘Investing Entity, search or scroll to select an Investing Entity.
    4. If desired, remove any columns from the results by selecting the column names under ‘Hidden Columns’.
    5. The results will load as the filters are selected.
    6. The results can be exported as a CSV file by clicking ‘Export’.
    7. To reset the report, click ‘Clear Filters’.
  • Investing Entities Report

    The Investing Entity report allows users to export a list of all of the Investing Entities under an Investment Advisor. The report can be filtered by Investment Advisor and returns a list of Investing Entities and their Bulk Upload Codes. 

    Steps

    1. In the navigation bar, click Reports.
    2. Click the tile that says ‘Investing Entities’.
    3. Under ‘Investment Advisor’, search or scroll to select an Investment Advisor.
    4. If desired, remove any columns from the results by selecting the column names under ‘Hidden Columns’.
    5. The results will load as the filters are selected.
    6. The results can be exported as a CSV file by clicking ‘Export’.
    7. To reset the report, click ‘Clear Filters’.
  • How to use Reports

    The Reports section of GPportal allows you to access and export large groups of CRM data and Investor Portal user data.

    Various types of reports are available:

    • Investing Entities, Investors Contacts, Wire Instructions, Last Portal Access, Document Access, Contact Agreements, Emails, K-1 Content Exposure, and BI Reports.

    While there are unique filters available for each report, all of the reports have the same structure and filtering abilities.

    The following are true for all reports:

    1. Reports return only approved data. If an Investor record’s data has been changed and the record is now Pending Review, the report will return the last published data since the new data has not been approved yet. 
    2. All of the filters in a report are multiselect.
    3. If a column option is not applicable to a report, the column can be hidden from the results so that only the necessary information is displayed.
    4. The results can be sorted both ascending and descending by clicking on the column name.
    5. All reports can be exported in a CSV file.
